Privacy Policy

Fantom Labs (ABN 51 559 921 362) ("we", "us") is a digital product studio based in Perth, Western Australia. This policy explains what personal information we collect through fantomlabs.io, how we use it, who we share it with, and the choices you have. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Information We Collect
We collect personal information in the following ways:
- Enquiries. When you use our contact form or email us, we collect the details you choose to provide: your name, email address, company, project type, budget range, and project details.
- Payments. When you purchase a package or subscription through our site, checkout is handled by Stripe. Stripe collects your name, email address, phone number, billing address, and payment card details. We never see or store your card number — we receive only confirmation of payment and the billing details needed to deliver the engagement and keep business records.
- Correspondence. Emails, calls, and messages exchanged with us in the course of an enquiry or engagement.
- Usage data. If analytics is enabled, we use Google Analytics 4 to collect anonymised usage information such as pages viewed, approximate location, device and browser type, and how you found the site. This is aggregate data used to understand how the site performs; it is not used to identify you.
- Technical logs. Our hosting provider (Vercel) records standard server logs, such as IP address and request details, for security and reliability.
Your theme preference (dark or light mode) is stored locally in your browser and is never transmitted to us.
How We Use Information
We use personal information to:
- respond to your enquiry and assess project fit;
- scope, deliver, and invoice engagements you commission;
- process payments and subscriptions and maintain business and tax records;
- send service communications about your enquiry or engagement (we do not send marketing email without your consent);
- improve the website and our services; and
- comply with legal obligations.
Cookies & Analytics
The site sets analytics cookies (such as Google Analytics _ga cookies) only to measure site usage. We do not run advertising trackers or sell data to ad networks. You can block or delete cookies in your browser settings, or opt out of Google Analytics with Google's browser opt-out add-on; the site works fully without cookies.
Who We Share It With
We do not sell personal information. We share it only with the service providers we rely on to operate:
- Stripe — payment processing (see the Stripe privacy policy);
- Resend — delivery of contact-form enquiries to our inbox;
- Google — analytics, if enabled;
- Vercel — website hosting;
- professional advisors (such as accountants) where needed to run the business, and authorities where disclosure is required by law.
Some of these providers store data on servers located overseas, primarily in the United States. Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
Retention
We keep enquiry records for as long as needed to manage the conversation and any resulting engagement. Records of paid engagements, invoices, and payments are kept for at least the periods required by Australian tax and business record-keeping law. Information that is no longer needed is deleted or de-identified.
Security
We take reasonable steps to protect personal information, including serving the site over HTTPS, restricting access to enquiry and payment records, and using reputable providers with their own security programs. No internet transmission is completely secure, so we cannot guarantee absolute security.
Access, Correction & Deletion
You may request access to, correction of, or deletion of the personal information we hold about you by emailing connect@fantomlabs.io. We will respond within a reasonable time. We may need to retain certain records where the law requires it (for example, tax records of payments).
Visitors Outside Australia
If you are in the UK, EU, or another jurisdiction with its own privacy laws, we process your personal information as described above on the basis of taking steps at your request before entering a contract, performing a contract with you, or our legitimate interest in responding to enquiries and operating the site. You may have additional rights under your local law, including the rights of access, rectification, erasure, and objection — contact us to exercise them.
Complaints
If you believe we have mishandled your personal information, contact us first at connect@fantomlabs.io and we will investigate and respond. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to This Policy
We may update this policy from time to time. The current version is always published on this page with its last-updated date. Material changes will be noted here.
